A high-ticket sales team doesn’t look like a classic sales team. Setters open conversations, triagers qualify and book, and closers run the sales call. Each lead passes through several hands in a few days, and every handoff is a place where it can be lost.

Most of these teams work with a mix of spreadsheets, WhatsApp groups, a shared calendar and a form or two. It works while volume is low. As it grows, the same problems always appear: leads nobody calls in time, unevenly distributed calls, daily reports filled in from memory and sales nobody knows how to attribute.

Closeford was built to solve exactly that: a CRM designed around how a team of setters, triagers and closers works, from the moment a lead comes in until the sale is recorded.

The problem: one process spread across five tools

On a typical day, a lead arrives through a form, someone copies it into a sheet, someone else decides who gets it, a call is booked over messages and, if it closes, the sale is logged in yet another sheet. Every step depends on someone remembering to do it.

The consequences are familiar to any sales manager:

  • Uneven speed to lead. A lead called within five minutes and one that waits two days look the same in the sheet, even though their chances of closing are very different.
  • Unfair or arbitrary distribution. The best leads go to whoever replies fastest, not to whoever should handle them.
  • Unreliable data. Without a shared record, nobody can say with confidence which source generates sales or which closer converts best.

How Closeford works

Closeford follows a lead’s real journey. Each stage has its own tool, and all of them share the same data.

1. Lead intake

Leads arrive from your website, forms or ads through the intake API, from public booking pages, or added manually from the board. Each lead is stored with its source, its revenue and the data of the campaign that brought it (UTM, referrer and funnel), so you can later measure which source generates sales.

2. Automatic triage by revenue

As soon as it arrives, the lead is classified by revenue. You define tiers — for example, below and above €5,000 — and which triagers handle each one. The lead goes to the triager in its tier with the lowest load over the last 30 days, in proportion to the weight you set: with weights 2 and 1, the first receives twice as many.

If a lead is below your minimum revenue or its business is excluded, it is saved as disqualified: it isn’t distributed and doesn’t trigger webhooks, but it stays in the CRM in case you want to review it.

3. Follow-up that nothing slips through

Every lead gets a follow-up timer when it arrives. You can define up to eight intervals, from 5 minutes to 30 days; overdue and due-today leads appear first in the queue. When a call is logged, the next attempt is scheduled automatically.

4. Scheduling and call distribution

Share a public booking page and let the lead pick a slot in their own time zone, with no back-and-forth. Routing rules assign the call to the right closer based on the lead’s ticket, rotating and weighted among those who can take it. A closer never has two calls at the same time and, with Google Calendar connected, each booking creates the event with its Meet link.

5. EOD reports and rankings

Setters, triagers and closers submit their end-of-day report from their personal link in a minute. From that data, Closeford builds rankings and reports by role, with no spreadsheets in between.

6. Sales with attribution

Each sale is recorded with its amount, its lead, its closer and its triager; the source comes from the lead itself. The amount is split between closer, triager and source according to the percentage set in your workspace, so you can see what each person and each channel contributes.

Integrations

Closeford doesn’t try to replace your whole stack. The intake API accepts leads from your website, Zapier, Make or your own server, authenticated with a secret key and limited to 300 requests per minute per workspace. Webhooks notify your systems when something relevant happens, and all of your data can be exported.

Private by design

Each workspace is independent: only the people you invite can see it, each with their own role, and its data never mixes with other workspaces. Your data is yours, and you can export it at any time.
